Process Graduate Student Appointment Hires

Overview

This document is designed to assist departments in hiring Graduate Student Appointment employees in M-Pathways Human Resource Management System (HRMS) - Recruiting. The steps below illustrate the process and relationship. Click on the links for additional information and assistance with steps.

Step Department or EPC Graduate Student M-Pathways
1 Create a New Job Opening using M-Pathways. If applicable, sends e-mails to Approvers, in order they are listed. After approvals are complete, the job opening is ready for Graduate Students to apply.
2 Approvers review and Approve/Deny Job Opening. Note: If denied, status changes to Denied and job opening can be resubmitted.
3 Search committee identifies selected Candidate.
4 Contacts final selected Candidate with instructions to apply for job posting and background screening requirement. Uses Careers website to apply or applies to non-posted position with special instructions supplied by hiring department. Lists all Graduate Students that apply to job opening in the Manage Applicants group box for the job opening.
5 If applicable, interviews Graduate Student.
6 Extends verbal offer to selected Graduate Student.
7 Accepts verbal offer from department.
8 Dispositions selected Graduate Student to “Interview” (provides easy access to the job offer in the next steps).
9 Adds Applicant Notes to selected Candidate.
10 Prepares a Job Offer. Include Approvers, and create Fraction Calculation Form(s) if finalized. Note: EPC is required as Primary and final Approver. Sends e-mails to Approvers, in order listed on job offer. Note: EPC must be the primary and last Approver.
11 EPC approves job offer and orders background check. Note: background check required for first appointment only. E-mail invitation sent to new hire to complete consent and disclosure for background check.
12 Logs in to vendor website and completes consent and disclosure.
13 EPC reviews applicant record for contact note.
14 EPC finalizes job offer and completes Prepare for Hire. Cross checks Restricted Table for N and R records. Cross checks for other appointments and provides information. Sends “New Employee Starting” e-mail message to hiring team.
15 Sends appointment to temporary holding “suspense” table.
16 (For new hires) Completes onboarding process using Wolverine Access > Self Service
17 Sends appointment to Job Data in nightly process when onboarding process is complete.
18 Sends final message regarding Employee Self Service options when date in Job Data has been reached.
19 Sends final Fraction Calculation Form to the Graduate Student if not included at time of job offer.
20 Sends Offer Letter (optional), Fraction Calculation Form, and I-9 to HRRIS for processing/scanning.
