Space Management Departments Page - Field Descriptions

Overview

The Departments page provides the most recently updated data pertaining to information such as the space roles and contact information. This page is effective-dated. Verify the information on this page at the start of the survey period. The current data displays when the page is accessed. By checking the Include History box when accessing the page, you can view data from previous survey periods. To view historic data, click the View All link or use the Show Next Row and Show Previous Row arrows to move between effective-dated rows. If the View All link, the Show Next Row, or Show Previous Row arrows are inactive, it indicates that there is no historic data (either because it doesn’t exist, or because you are not in Include History mode).

Letter Field/Button Description
A Header The Departments header displays the Department ID and the associated description of the department being viewed.
B Department Effective Date In the Department Effective Date group box, the Eff Date field displays the date on which the information displayed below became/becomes effective.
C Contacts

In the Contacts group box, the Facilities Administrator, Survey Contact, and ORA Contact fields display the uniqname, name, and campus phone number of each individual filling the role. Any user with the appropriate departmental security in the Space pages can enter data in these fields.

  • Facilities Administrator – This field is not required.
  • Survey Contact – This field displays the uniqname of the individual with the most knowledge about your department’s space. A value is required in this field for all departments. If this field is blank, you will not be able to authorize and submit your space survey.
  • ORA Contact – This field displays the uniqname of the individual with the most knowledge about your department’s Project/Grant information, supporting the organized research taking place in your department. A value is required in this field for all departments that have rooms meeting the Organized Research Activity (ORA) requirements. If this field is blank when a value is required, you will not be able to authorize and submit your space survey.
D Survey

The Survey group box displays the Operator IDs for the Controller, Submitter, and Authorizer. Their names display beside the appropriate field. The Controller can change the Submitter and Authorizer. The Office of Space Analysis can reassign the Controller. To request this reassignment, contact the office at Space.Analysis@umich.edu and provide the uniqname of the new Controller, the Department IDs for which he or she is acting as the Controller, and the name and uniqname of the Controller being replaced.

  • ORA Req – If this box is checked, it means a department is required to provide Project/Grant information on the Organized Research Activity page.
  • Survey Type – This list displays the type of survey submission that is required. An “E” in this field indicates that the survey must be submitted electronically.
  • Faculty Allocation Role Req’d – If this box is checked, it means the parent department requires a department to provide faculty allocation data.
  • Hide ORA Verify Complete – If this box is checked, it means the parent department has requested the ORA Verify Complete checkbox on the Organized Research Activity page be hidden.
E Sent by Space Analysis Tracks the date when the survey period was opened.
F Received by Space Analysis Tracks the date when the Submitter submitted the survey to Space Analysis.
G Verified by Space Analysis Tracks the date when Space Analysis verified the survey page data.
H ORA Review Complete Tracks the date when the Cost Reimbursement Office completed its review and approval of all project grant numbers submitted by the department.
I Comment Comment data is entered by Space Analysis and generally contains information regarding survey processing and role reassignments.
