Survey Excel Template - Overview and Field Descriptions

Overview

This document describes the Survey Excel Template. Refer to the Space Management website for more information and to download the template.

The Survey Excel Template contains macro buttons:

  • Import File downloads the data file exported from M-Pathways and populates the template.
  • Sort returns the spreadsheet to the original sort order, if you have applied filters or other sorts for data analysis.
  • Insert Row Like This adds a change row to the spreadsheet. Put your cursor in the desired row first.
  • Export File creates the XML data file used to import the changes into M-Pathways.

Exported room data display in one or more rows on the template, divided into color-coded groups corresponding to a page within the M-Pathways Space Survey Component or, in some cases, to a specific groupbox on a page (e.g., Room Use Function). The rows that display for a room are determined by:

  • Whether there is corresponding room data in M-Pathways (e.g., an ORAV row won’t display for a room if that room record contains no ORA data).
  • Whether or not you selected that data to be included in the export data file (in step one of the Survey Excel Interface process).

Each row has a Row Type (column E) value that identifies the:

  • Data component (e.g., SURVEY), or
  • The action being taken when you insert a change row (e.g., SVYCHG, ORA+).

Inserted rows are highlighted in fluorescent yellow to identify the row as a change row.

A room may have:

  • one SURVEY row
  • one ORAV row (if applicable to the Room Type/Function)
  • one or more FUNC, ORA, DEPT, and PERSON rows
  • one FEAT row

Column Definitions and Usage Guidelines

K Stations 6 SURVEYCHG row: A value of None is acceptable for deleting the existing station count. Decimal points are not accepted.

FUNC row: Enter an X if you want to delete this row (the Room Use Function Code) for this room. Otherwise, leave the column blank.

A room may have several ORA rows, but only have one ORAV row. Applies to Room Types 250 or 310 with Function Code 0202.

ORAVCHG row: Select Y or N from the drop-down list.

ORA Row: Enter an X to delete a particular project/grant that is associated with the room. Otherwise, leave the column blank.

AC Delete 3

DEPT row: Enter an X to delete a Dept ID associated with this room. Otherwise, leave the column blank.

If applicable, also mark the PERSON row(s) (column AH, Delete 4) corresponding to the Occupying Department for deletion. Otherwise, the Occupying Department will not be deleted during the upload to M-Pathways.
