Resolve Exception Time in Punch Time Units

Overview

Time Administration (Admin) is a nightly process that creates payable time based on reported time without errors. If there is a time reporting error, Time Admin creates exception time (errors/exceptions) instead of payable time.

To resolve exception time, simply correct the reported time on a timesheet. The next run of Time Admin then
removes the exception time and creates payable time based on the correct reported time.

Exception Time

The following table lists the exception time that occurs in Punch Time units. It details the reasons they occur and the steps to correct the time reporting errors. The Description value is used to identify a specific exception. The first four listed here have a High severity level, which prevents payable time from being created.

Description Reasons What to Correct on Timesheet
Invalid Leave Time taken The employee does not have enough leave balance to cover the reported leave time. Adjust the reported leave time.
Quantity exceeds TRC limits The quantity reported exceeds the minimum or maximum limits specified for a Time Reporting Code (TRC). Adjust the reported hours or amount.
Invalid punch order The employee swiped IN when he should have swiped OUT, or vice versa.

Move the punch time to the appropriate In or Out field.

This may require adjusting a prior pay period. If the last punch in the prior period was incorrect or missing, the first punch in the current period has the exception.

Missing punch The employee did not swipe IN or OUT. Enter the appropriate missing punch time.
More than 24 hours reported

The sum of any TRCs of Hours Type cannot exceed 24 hours in a day.

For example, if shift differential (e.g., ESA, NSA) is reported, the total of all TRCs may acceptably exceed 24 hours.

No correction required. This is a low level exception and just a warning.

The methods for reviewing exception time are described below.

Exception Time Query

Run the MTL_EXCEPTION_GROUP query every Monday after a pay period. This ensures all exception time can be identified for the employees in your Static Group(s) so you can resolve the time reporting errors.

  1. The ID and Empl Rcd# identify the specific employee and job appointment that has the exception.
  2. The Report Date (Rpt Dt) identifies the date of the reported time with the exception.
  3. The Description (Exception Descr) of the specific type of exception time.

You can also click the Exception icon Exception Icon Screenshoton a Timesheet to open the Exceptions panel below the timesheet. This icon only appears after Time Admin runs, and it only disappears after the reported time is corrected and Time Admin runs again.

The exception in this example was created because the last punch in the prior pay period was also an Out punch.

The Exceptions panel lists all the exception time for the employee in the pay period. After each time reporting error is corrected, Time Admin removes the exception time and creates payable time. Do not use the buttons on this page – its purpose is to identify the Explanation and Date of the exception(s).
